Your Digital Toolbox

Unused tools cost money quietly. Unclear ownership creates bottlenecks and finger-pointing.

List every tool or software your team uses on a daily or weekly basis.
Identify duplicates — tools that overlap in functionality.
Flag any tool nobody has logged into in the last 30 days.
Compare active subscriptions against real usage. Cancel what isn't earning its keep.
Assign one clear owner per critical tool: responsible for access, billing, and renewals.

Data Security

Most SME data incidents start with weak passwords or admin access that was never revoked.

Confirm all team members store passwords in a dedicated password manager — not a browser or a sticky note.
Verify 2-factor authentication (2FA) is enabled on critical accounts: email, banking, hosting, and your CRM.
Check when you last backed up your key business data. If the answer is 'never' or 'I'm not sure', do it today.
Audit who has admin access to each platform — revoke it for anyone who no longer needs it.
Confirm your SSL certificate is active and set to auto-renew (look for the padlock in the browser address bar).

Website Health

Your site works (or doesn't) around the clock. Most owners find at least one broken thing here.

Test your site speed at pagespeed.web.dev — aim for a score above 80 on mobile.
Verify your site loads over HTTPS (padlock visible in the browser address bar).
Test your contact form right now: submit a real message and confirm you receive the notification email.
Open your homepage on a phone — is every button easy to tap and every line of text readable?

Online Visibility

If customers can't find you when they search, your best work goes unseen.

Google your company name right now — does your website appear as the first result?
Check your Google Business Profile: current hours, address, phone, and at least one recent photo.
Confirm your main keyword appears naturally in your homepage title and opening paragraph.
Verify every page has a unique title tag and a meta description under 160 characters.
Check that your site is in Google Search Console and shows no critical indexing errors.

Digital chaos is rarely a tech problem — it's usually an ownership and clarity problem.
